Privacy Policy

1Who we are

BillBanao (the website billbanao.in and the BillBanao app) is a billing, khata (ledger) and stock management service for shopkeepers and small businesses. It is published and operated by VVV Chemicals Limited ("we", "us", "our").

2Information we collect

a) Account information

• Your name and mobile number.
• Your password — stored only in hashed (one-way encrypted) form. We cannot see your password.
• Names and mobile numbers of any staff users you add to your business.

b) Business profile

• Shop / business name, address, city, state and PIN code.
• GSTIN (if you have one), UPI ID, bank details you choose to print on bills, and your logo.
• Bill settings such as invoice prefixes, terms and print format.

c) Data you enter while using the app

• Parties (your customers and suppliers) — names, phone numbers, GSTIN, addresses and balances.
• Items — names, codes/barcodes, prices, tax rates and stock.
• Bills, purchases, estimates, payments received or made, and expenses.

d) Demo / enquiry requests

If you fill the demo form on our website, we receive the name, mobile number, city and message you enter, so that we can contact you.

e) Basic technical information

To keep accounts secure we record limited technical details such as IP address, login times and the device/browser used to sign in (for example, to block repeated wrong-password attempts and to manage logged-in devices). The app also stores a login token in your browser so that you stay signed in.

We do not use advertising trackers, and we do not collect your contacts list, SMS, call logs or location.

3How we use your information

We use your information only to provide and run the BillBanao service, which includes:

• Creating and managing your account and your staff logins.
• Generating bills, khata statements, stock and GST/business reports that you ask for.
• Showing your business details (and UPI QR, if you add a UPI ID) on bills you create.
• Managing your trial and subscription, and sending service-related messages.
• Responding to your support and demo requests.
• Keeping the service secure and preventing misuse.

4Where your data is stored

Your data is stored in a database on the hosting servers we use to run BillBanao. Each business's data is kept separate and is accessible only through that business's own logins (and to us where needed to operate, support or secure the service).

We keep your data for as long as your account is active, or until you ask us to delete it (see section 9).

5Sharing

We do not sell your data, and we do not share it with third parties, except:

• with our hosting provider, which stores and serves the data on our behalf; and
• when we are required by law, or by a valid order of a court or government authority.

When you choose to send a bill, statement or reminder on WhatsApp (or any other app), BillBanao opens that app on your device with a ready message and link. You send that message yourself, and the other app's own privacy policy applies to it.

Our website loads its fonts from Google Fonts, so your browser connects to Google's servers when the page loads.

6Camera & device permissions

The app asks for camera access only when you tap "Scan" to read a barcode. The barcode is read on your device; camera images are not uploaded or stored by us. You can deny or withdraw camera permission at any time in your browser or phone settings and continue to type item codes manually.

7Bill & khata share links

Each bill and khata statement can have a private share link (a long, hard-to-guess address). Anyone who has the link can view that specific bill or statement — nothing else in your account. You decide whether and with whom to share these links, so please share them only with the intended person.

8Your customers' and suppliers' data

Information you enter about your own customers and suppliers belongs to your business. We store and process it only so that you can use BillBanao. You are responsible for having a valid reason to collect and use that information in your business.

9Export, correction & deletion

• Export: you can download your data from within the app at any time.
• Correction: you can edit your profile, business details and records in the app.
• Deletion: to delete your account and its data, email support@billbanao.in from your registered details (or mention your registered mobile number). We will verify the request and delete your data within 30 days, except any information we are required by law to retain.

Please export any records you need (for example, for GST or accounting) before requesting deletion — deleted data cannot be recovered.

10Security

We use reasonable safeguards, including hashed passwords, encrypted (HTTPS) connections, separation of each business's data and limits on repeated login attempts. However, no online service can be 100% secure. Please keep your password private, and remove staff logins you no longer need.

11Children

BillBanao is meant for businesses and is not intended for anyone under 18 years of age. We do not knowingly collect information from children. If you believe a child has created an account, please contact us and we will delete it.

12Changes & contact

We may update this policy from time to time. When we do, we will change the effective date above and, for important changes, show a notice on the website or in the app. Continuing to use BillBanao after a change means you accept the updated policy.
